Freight delivery works best when the receiving plan is settled before the shipment reaches your address. Confirm where the quoted service ends, who will be present and how the components will move from the delivery point to the intended room.
A shipment estimate is not an arrival appointment. Keep the order's service details, current policies and any carrier instructions together, then use this checklist to identify questions before delivery day.
Start with the actual quoted service
Read the final quote and order details for the exact address. Confirm the delivery method and destination, and ask which services are included. Do not assume a phrase such as “shipping included” also covers inside movement or installation.
LAVB's published shipping policy describes freight drop-off at curbside or a loading dock, with the customer responsible for moving booth items inside. Local service questions depend on the actual address and project details and should be confirmed with Sales.
Record the responsible party for receiving, unloading, movement inside and assembly. Where a responsibility is unclear, ask for it to be resolved explicitly. A gap between the delivery point and the room does not disappear because the booth itself is ready to ship.
Separate shipment timing from arrival timing
The shipping policy describes estimated shipment timing and notes that delays can occur. Do not turn that estimate into a guaranteed date when the booth will be installed and ready for a booked session.
Ask how shipment updates and carrier contact will reach you. Keep the verified order and tracking references together when they become available. If your availability changes, contact the responsible team early rather than assuming a driver or warehouse can accommodate a different plan at no cost.
Describe genuine constraints such as building receiving hours or a required delivery reservation. Ask how those restrictions will be handled for the actual shipment. A planning preference is not a confirmed carrier appointment until the appropriate party verifies it.
Confirm the receiving location
Walk from the expected delivery point to the building entrance. Identify steps, slopes, thresholds, narrow access or site restrictions that could affect the agreed service. Share relevant measurements and photos with the responsible team before the day of delivery.
Check the address and any location instructions carefully. A business loading dock may have a different approach from the public entrance. A residential property may have access conditions that are not obvious from the street address alone.
Do not invent a handling method based on the assembled booth's appearance. Ask for the packing and component information relevant to your order, then let the responsible carrier or service provider confirm the appropriate handling plan.
Plan movement inside as its own task
The route into the final room needs to be understood separately from the delivery service. Confirm doorway openings, turns, stairs or elevator dimensions, overhead restrictions and any building rules that apply.
Use the actual component or packed-item information supplied for the order. A nominal booth size does not tell you whether a long component can turn through a hallway or whether a particular elevator is suitable.
Arrange qualified help and suitable equipment where needed. Do not assume a particular number of people can move the shipment safely without its handling information. Avoid making a last-minute plan to remove building fixtures, lift items through an opening or alter packaging without guidance and permission.
If a route remains uncertain, flag the specific point to Sales and the responsible moving or installation provider. Resolve it before relying on that route.
Prepare the destination without blocking access
Clear the intended room and the agreed assembly area. Keep required exits, ventilation routes and access to building equipment available. Store unrelated items elsewhere so the incoming components are not competing with a crowded workspace.
Check that the proposed booth placement still matches the confirmed plan. A new cabinet, a moved desk or a changed ventilation-side layout can affect the installation even if the overall room dimensions have not changed.
Floor-load suitability, property permissions and building requirements belong with the responsible qualified parties. Delivery preparation does not establish those approvals, and a product consultation cannot substitute for them.
Give the receiving person a clear information packet
The person meeting the shipment should know what service was agreed, who to contact and where to find the order information. Avoid relying on a hurried phone call while the delivery is already taking place.
Include:
- Order and shipment references supplied by the seller or carrier
- Confirmed address and receiving location
- Expected contact method and any verified appointment details
- Quoted service scope and responsible parties
- Building receiving rules and authorized site contact
- Confirmed route and inside-movement arrangements
- Current packing, handling and receiving instructions
- Sales and carrier contacts for questions
- Relevant policy links and reporting requirements
Share only the information each participant needs. Keep payment or unrelated private order details out of publicly posted receiving instructions.
Document visible issues and ask promptly
Follow the current seller and carrier receiving instructions. Where safe and permitted, record the shipment's visible condition and photograph any apparent damage or discrepancy. Keep the photos, shipment identifiers and the time of the observation together.
If something appears wrong, contact the responsible team promptly and ask how to proceed under the applicable instructions. Do not assume that refusing delivery is cost-free or that signing a particular document resolves every issue.
LAVB's published policies state that shipping or delivery damage must be reported within five business days. Review the current refund policy and shipping terms before delivery; reporting instructions and any order-specific direction should be confirmed with Sales. This checklist does not change those terms or promise an exception.
Finish the handoff and retain the record
After receiving, keep the delivery documents, condition photos and any issue correspondence with the order. Check the supplied instructions before unpacking, assembly or disposal of packing material. Ask the responsible team when you are uncertain what needs to be retained for a reported issue.
If a later change affects the agreed installation or room, raise it before proceeding. Avoid improvising modifications to the booth to compensate for a planning problem.
